DATA NOTICE

How we handle your data

Draft: to be reviewed and completed by legal before the page is public

This page tells you what the Live AI Video Lab does with your data. Text in [square brackets] is a placeholder for details only the company can supply.

1. Who is responsible

The Live AI Video Lab is run by the controller named here.

  • Controller: [company legal name]
  • Address: [street, postcode, city, country]
  • Contact email for data questions: [privacy contact email]
  • Data protection officer, if there is one: [name and contact, or "not appointed"]

2. What we collect

When you register, we collect:

  • your name, company, role and work email
  • your consent choices: the data notice (required) and follow-up emails (optional, separate)

While you use the lab, we collect:

  • the shot briefs and questions you type
  • the prompts written from your briefs and the clips generated from them
  • technical logs, such as your IP address, which we use for abuse protection

3. Why we use your data, and on what legal basis

  • To run the event and let you take part: your registration data, briefs, prompts and clips. Legal basis: [legal basis, to be confirmed by legal].
  • To send your confirmation, your personal login link and other emails about this event. Legal basis: [legal basis, to be confirmed by legal].
  • To send the recording, your clips and follow-up emails about AI video production. We do this only if you tick the separate follow-up box. Legal basis: your consent [exact article, to be confirmed by legal]. You can withdraw it at any time.
  • To keep the lab safe from abuse, using technical logs. Legal basis: [legal basis, to be confirmed by legal].

4. Who receives your data

Inside the lab:

  • The hosts see your name and company next to your clips and questions.
  • Other attendees: once a host approves one of your clips for the shared wall, every logged-in attendee sees it with the first 200 characters of your brief, labelled "Attendee" and a number, not your name.

We pass data to these services. They process it to provide the lab.

  • Anthropic: Claude writes the video prompt from your brief. Your brief text is sent to Anthropic.
  • Runpod: renders MiniMax H3 clips on GPUs (the MiniMax model runs on Runpod; nothing is sent to MiniMax). The prompt for your shot is sent to Runpod.
  • OpenRouter and Google: render Veo clips. The prompt for your shot is sent to OpenRouter, which passes it to Google.
  • In raw mode, the prompt sent to the video service is exactly the text you typed.
  • YouTube: shows the embedded live stream and the recording. The player is loaded from youtube-nocookie.com, only on the pages that show the stream or the recording. When it loads, YouTube can receive your IP address and technical details of your browser.
  • Email service: [name of the provider, location]
  • File storage (your clips): [name of the provider, location]
  • Hosting: [name of the provider, location]
  • Analytics: [OpenPanel, to be added: what it measures and whether it sets cookies]
  • Transfers outside the EU or EEA, and the safeguards used: [to be completed by legal]

5. Uploads, AI labels and what not to type

  • The lab accepts no uploads. You can only type text.
  • Every clip carries a visible AI label (EU AI Act, Art. 50).
  • Your briefs must not contain client data, confidential information or real people. Describe invented people and places only.
  • Your briefs go to the AI providers listed above. Do not type anything you would not want them to receive.
  • Cookies: the lab sets only the cookies it needs to keep you logged in (and, for the hosts, the host console login). It sets no advertising or tracking cookies.

6. How long we keep your data

  • Registration data and consent records: [period, and when it starts]
  • Briefs, prompts and clips: [period]
  • Clips shown on the shared wall: [period]

  • have wrong data corrected
  • have your data deleted
  • object to how we use your data
  • withdraw a consent at any time. This does not affect what we did before you withdrew it.
